2. User Cancellations
2.1 Cancellation Timeframes

- Cancellations made 5 days or more before the event date will receive a 100% refund
- The full registration fee will be returned to your original payment method
- No questions asked, no cancellation fee
✗ No Refund Period
- Cancellations made less than 5 days before the event date will not be eligible for a refund
- No-shows (failure to attend without cancellation) will not receive a refund
- This policy helps us manage event logistics and commitments to venues and partners
2.2 How to Cancel
To cancel your event registration, follow these steps:
- Log into your Migavibe account at www.migavibe.com
- Navigate to the "My Participations" section
- Click the "Cancel Registration" button for the event you wish to cancel
- Confirm your cancellation when prompted
- You will receive a confirmation email within 24 hours

2.4 Calculating Cancellation Timeframes
Important: The cancellation timeframe is calculated from the date and time you submit your cancellation to the scheduled start time of the event.
Example:
- Event scheduled: Saturday, January 18, 2025 at 7:00 PM
- Cancellation submitted: Friday, January 13, 2025 at 3:00 PM
- Days before event: 5+ days
- Result: 100% refund (5+ days)
3. Migavibe-Initiated Cancellations
3.1 Event Cancellation by Migavibe
We reserve the right to cancel an event under the following circumstances:
- Insufficient registrations (minimum participant requirement not met)
- Venue unavailability (closure, double-booking, emergency)
- Force majeure (natural disasters, pandemics, government restrictions, etc.)
- Safety concerns (security threats, health risks)
- Operational issues (staffing problems, technical difficulties)
3.2 Notification of Cancellation
If we cancel an event:
- We will notify you via email as soon as possible
- For planned cancellations, we aim to provide at least 48 hours notice
- For emergency cancellations, notification may be shorter
- Check your email and Migavibe account for updates
3.3 Refunds for Migavibe-Initiated Cancellations
Full Refund Guaranteed:
- If we cancel an event, you will receive a 100% refund of your registration fee
- Refunds will be processed within 5-7 business days
- No cancellation fees or deductions apply
- Refund will be returned to your original payment method
3.4 Alternative Options
Instead of a refund, you may choose to:
- Transfer to another event: Apply your registration fee to a future event of equal or greater value
- Receive event credit: Get credit in your Migavibe account for future bookings
- Wait for rescheduling: If the event will be rescheduled, your registration can be transferred automatically

4. Event Modifications
4.1 Minor Changes
Minor changes to event details (such as slight time adjustments, venue room changes, or minor program updates) do not entitle you to a refund.
We will notify you of any minor changes via email as soon as possible.
4.2 Major Changes
Major changes include:
- Change of event date by more than 3 days
- Change of event city or location by more than 5 km
- Significant change in event format or activities
- Change of event time by more than 2 hours
If we make a major change:
- We will notify you via email at least 7 days in advance (when possible)
- You may cancel your registration and receive a 100% refund
- You must request a refund within 48 hours of receiving the notification
- If you do not cancel within 48 hours, the booking is considered confirmed with the new details
5. No-Show Policy
5.1 Definition of No-Show
A "no-show" occurs when you:
- Fail to attend the event without cancelling in advance
- Arrive more than 30 minutes after the scheduled start time without prior notification
- Do not check in at the event registration
5.2 No-Show Consequences
No Refund:
- No-shows are not eligible for any refund
- The full registration fee is forfeited
- No credit or transfer to future events will be provided

Account Restrictions:
- Users with 2 or more no-shows within a 12-month period may face account restrictions
- Restrictions may include: booking limitations, prepayment requirements, or account suspension
- Repeated no-shows negatively impact other users and event planning
6. Refund Processing
6.1 Refund Timeline
Refunds will be processed as follows:
- Processing Time: 5-7 business days from cancellation approval
- Bank Processing: Additional 3-10 business days depending on your financial institution
- Total Time: Expect to see the refund within 10-14 business days
6.2 Refund Method

- Credit card refunds: returned to the same card

Events are held rain or shine unless:
- Severe weather creates unsafe conditions (determined by Migavibe)
- The venue is closed due to weather
- Government authorities issue weather-related restrictions
Normal rain or cold weather does not qualify for refunds.
